Illustrative decision record
One decision. The evidence behind it.
Your organisation pays no fee. We agree engagement fit before work begins.
The funding is explicit. A selected provider pays a capped, negotiated fee.
The contract stays yours. You contract directly with your chosen provider.
How close is your renewal?
Start with the time available.
Give the market room to respond.
Check the notice period first. Use the available time to define requirements, examine alternatives and plan for any transition before the current term ends.
This is a planning guide. Your agreement’s notice clauses determine the actual deadline.
Turn a renewal deadline into a decision point.
A familiar provider may still be the right choice. A review gives you a reason to stay, a basis to negotiate or evidence for a change.

Your interests. On the record.
CYBORIUM manages the procurement process. We do not sell, deliver, operate, manage or invoice the technology you choose.
What the review can cover
Requirements and prioritisation, market evaluation, vendor due diligence, commercial benchmarking, shortlisting, negotiation support and decision evidence.
How the funding works
Your organisation pays CYBORIUM no fee. A selected provider pays a capped percentage fee negotiated with that provider. The fee varies and is disclosed on request. We discuss whether this model fits your renewal before starting.
How independence is evidenced
The provider-funded model creates an incentive that must be visible. Documented evaluation criteria and scores, a capped fee and your direct provider contract support a transparent decision.
Start before your notice period closes. The available time affects whether a market evaluation or provider transition is practical. Bring the renewal date and cancellation or notice clauses to the initial conversation.
Can you review a renewal if we may stay with our provider?+
Yes. Renewing can be the right outcome. The first conversation establishes your objectives, the available time and whether CYBORIUM’s engagement and funding model suit the review.
Does a review guarantee a lower price?+
No. The review considers commercial terms together with scope, service commitments, provider risk and transition requirements. Its purpose is to support an informed decision; savings and a particular outcome are not guaranteed.
What should we bring to the first conversation?+
Your renewal date, notice period, current agreement, renewal proposal and a short description of what needs to improve. Share sensitive contract information only through an agreed channel.
Who signs the technology contract?+
Your organisation contracts directly with the selected provider. CYBORIUM supports the procurement and decision process and does not sell or deliver the technology.
